A cost-cutting Request For Proposal template by Sofico

A tender is typically reserved for a large project with a significant business impact and cost. This means that most companies will not go through this process often. Is the necessary know-how available in house to create the Request for Information (RFI) and Request for Proposal (RFP) documents ? How much time and how many resources need to be set aside for this ? Is an external consulting party needed ? What of the extra cost that this will generate?

Creating an RFP is very labour intensive. Functional, non-functional, technical and other requirements need to be gathered from various internal sources. Questions need to be drafted and reviewed. Once the completed RFP has been sent out, the answers from the various suppliers need to be evaluated. Doing this in house is costly in time and resources. Relying on an external partner to provide the expertise is costly full stop.

A third option

It can be used as a starting point as it has been set up with the objective to provide a maximum of relevant questions that are needed to evaluate a future partner and its solution. But Sofico realizes that the RFP template will not be completely in accordance with each company’s specific requirements. However, the RFP template, once filled out will provide enough information to come to a short list of potential suppliers.
